Weak, reused or shared passwords are one of the most common ways into small businesses. The good news: fixing it is cheap and fast.
Most common mistakes
- The same password on many services.
- Passwords written down on a note on the monitor or in an open spreadsheet.
- One account for all employees.
- Former employees' accounts still active.
- No two-factor authentication (2FA).
What to do
- A password manager for the team: long, unique passwords for everyone, with nothing to memorize.
- 2FA on everything that matters: email, Microsoft 365 or Google Workspace, banking, company social media, remote access and the website admin.
- Prefer an authenticator app or a physical key over SMS when possible.
- One account per person, so you know who did what and can cut off anyone who leaves.
- Review at every departure: disable accounts and change shared passwords the same day.
- Recovery codes stored somewhere safe.
