Every business that wants professional email ends up with the same question: Google Workspace or Microsoft 365? Both are good and offer email on your own domain, documents, spreadsheets, video calls and cloud storage. The best choice depends on how your team works.
When Google Workspace usually fits better
- Your team already uses Gmail and Google Docs every day.
- Work happens almost entirely in the browser and on phones.
- Lots of people editing documents and spreadsheets at the same time.
- You want simple administration.
When Microsoft 365 usually fits better
- The business relies on installed Excel, Word and PowerPoint, with macros or complex files.
- Customers and suppliers exchange Office files all the time.
- Your computers run Windows and you want to manage them centrally.
- The team uses, or will use, Teams.
Questions to help you decide
- Which programs does your team really use today?
- What file formats do your customers and partners send?
- How many people work from their phones?
- Who will manage accounts and security?
What applies to both
Whatever you choose: use your own domain, turn on two-step verification, configure SPF, DKIM and DMARC, and keep an extra backup of your data. Switching later is possible but takes work, so it is worth deciding carefully.
