Small business backup: the 3-2-1 rule in practice

A broken computer, ransomware or an accidentally deleted file can stop a business for days. Backup is what separates a scare from a major loss. And the simplest way to do backup properly is to follow the 3-2-1 rule.

What the 3-2-1 rule is

  • 3 copies of your data: the original plus two copies.
  • 2 different types of media, for example an external drive or NAS and the cloud.
  • 1 copy off-site, one that survives fire, theft or ransomware.

Many experts now also recommend that one of the copies be offline or immutable, so an attacker cannot delete it.

How to apply it in a small business

  1. List what matters: accounting, contracts, email, customer files, systems.
  2. Automate: manual backups always end up forgotten.
  3. Set the frequency: data that changes every day needs daily backups.
  4. Separate access: the account that runs backups should not be the one used every day.
  5. Test restoring at least a few times a year.

Common mistakes

  • Thinking sync (like a cloud folder) is backup. If a file is deleted or encrypted, sync copies the problem.
  • Leaving the backup drive always connected to the computer.
  • Never testing whether the backup actually works.
