Changing hosting, moving email to Microsoft 365 or Google Workspace, or rebuilding the website: all of this is common. The risk is losing email, having the site go down or missing customer messages during the move. With planning, almost all of it can be avoided.
Step by step for a safe migration
- Inventory: list the domain, where it's registered, hosting, email accounts, forms and access passwords.
- Confirm who owns the domain. It must be in the company's name, with guaranteed access.
- Full backup of the site, database and mailboxes before touching anything.
- Prepare the new environment and copy the data before switching DNS.
- Lower the DNS cache time (TTL) a few days before, so the change propagates faster.
- Switch DNS at a quiet time.
- Test everything: site, forms, sending and receiving email, staff phones.
- Keep the old environment for a while until you're sure nothing was left behind.
The most common mistakes
- Cancelling the old hosting or email before the copy is finished.
- Forgetting DNS records (MX, SPF, DKIM, DMARC), so email starts landing in spam.
- Changing page addresses without redirects and losing Google rankings.
- Not telling staff how to set up email on their phones.
