Microsoft 365 brings email, Word, Excel, Teams and cloud storage together in one package. For a small business it solves a lot, but only if it is set up properly from the start. Here is a practical roadmap.
1. Choose the plan and use your domain
Choose a business plan that fits your number of users and your needs. Use your own domain (for example, name@yourcompany.jp) instead of free email: it builds more trust with customers.
2. Create accounts carefully
- One account per person, never shared accounts for everything.
- A separate admin account, used only for administration.
- A process to disable accounts when someone leaves.
3. Turn on basic security
- Two-step verification for everyone.
- Block legacy sign-in protocols.
- Filtering against phishing and dangerous attachments.
- SPF, DKIM and DMARC records on your domain, so your email doesn't land in spam or get spoofed.
4. Organise files and communication
Use OneDrive for personal work files, SharePoint or Teams for team folders, and decide who can share with outsiders.
5. Think about backup
Cloud data can also be deleted by mistake or by an attacker. Consider an extra backup of email and files.
